How to check Shipping Bill status on ICEGATE

A Shipping Bill number is only the start of the export record. If you are searching “shipping bill status ICEGATE” or “EGM not filed”, check the official enquiry first, then keep its status beside the invoice and shipment in your own records.

Check the Shipping Bill on ICEGATE

Open ICEGATE Public Enquiries and choose Shipping Bill. Enter the Shipping Bill number and date, then select the correct customs location. ICEGATE says this view can show the current status, EGM status, item-wise reward details and other related information. Save the number, date, location and what the enquiry actually shows.

If the number is not found, check the digits, date and location with your CHA before assuming the bill was not filed. ICEGATE’s own public enquiries manual and helpdesk are the authority for a portal error.

Shipping bill not reflecting on DGFT

Shipping Bill data reaches DGFT electronically from ICEGATE, with its EGM date, and a record can be rejected on the way. ICEGATE shows where it stands: Services › Enquiry › Public Enquiries › DGFT Shipping Bill Integration Status, searched by Shipping Bill number, date and port, or by IEC and a date range (ICEGATE FAQ). Code 0 means it is integrated at DGFT. Others point to the cause: 21, an invalid LEO or an LEO dated before the Shipping Bill; 23, the FOB value in INR missing or invalid; 16, a parent record missing; 9, a duplicate record. A missing EGM (SB002 or SB006 below) is another common reason. Take the code to your CHA or the port. For eBRC you need not wait: if the Shipping Bill is not available on DGFT, you can enter its details yourself and generate the eBRC (DGFT eBRC FAQs, Q24).

ICEGATE also has a “Status of SB in RBI – EDPMS” enquiry for the bank’s side. If the issue is with the bank, ICEGATE directs exporters to that bank.

In ExportEazy: the Shipping Bill is recorded with its number, date, port and LEO date, and the shipment’s Customs track stays open until the LEO date is in; the official status is still read on ICEGATE.

EGM error codes explained (SB000 to SB006)

Before customs pays an IGST refund, ICEGATE matches the invoice in your GST return (GSTR-1 Table 6A, or 9A for an amendment) with the Shipping Bill and its EGM. ICEGATE’s FAQ lists the response codes:

  • SB000 — validated; nothing to do.
  • SB001 — the Shipping Bill number, date or port in GSTR-1 does not match the Shipping Bill; correct the details in your GST return.
  • SB002 — EGM not filed; ask the shipping line or airline to file it.
  • SB003 — GSTIN mismatch between the GST return and the Shipping Bill.
  • SB004 — a duplicate of a record already validated; no action.
  • SB005 — the invoice number in the GST return differs from the Shipping Bill; ask your CHA about the customs verification route at the port.
  • SB006 — gateway EGM not available, usually an ICD export whose gateway EGM was filed manually; ask the shipping line to file it electronically.
  • SB105 — the Shipping Bill number has the wrong number of digits; amend it through Table 9A.

If GSTN never sent your record to customs, ICEGATE directs you to the GSTN helpdesk; for anything else, write to the gateway port.

In ExportEazy: ExportEazy does not read ICEGATE; it keeps the Shipping Bill, invoice number and EGM date together so the numbers you compare against the code are in one place.

If EGM is missing

The Export General Manifest is filed by the carrier or its agent after movement. If EGM status is missing, confirm the shipment and transport details with the carrier or forwarder, then ask your CHA to check the ICEGATE record. Do not mark a shipment closed merely because the Shipping Bill number exists.

Keep the Shipping Bill, EGM status, transport document, buyer payment and eBRC as separate checkpoints. They are issued by different parties at different times.

Where ExportEazy fits

ExportEazy records the Shipping Bill number, date, port, FOB value and invoices it covers. A CHA can send the document through a scoped task link. ICEGATE remains the place to check official status.
