Proforma invoice, commercial invoice or packing list?
| Document | When you send it | What it is for |
|---|---|---|
| Proforma invoice | Before the sale, with your offer | Agreeing buyer, products, quantity, price, currency, Incoterm and payment terms. Often used by the buyer to arrange payment or an import licence. |
| Commercial invoice | When the goods ship | Recording the actual sale: what shipped, at what value. Your CHA files the Shipping Bill from it, and it is the tax invoice for the export. |
| Packing list | With the commercial invoice | Describing what is physically in each package — quantities, packages and weights — so customs, the forwarder and the buyer can check the goods. |
What an export invoice from India carries
The exporter’s name, address, GSTIN and IEC; the buyer and the destination country; an invoice number and date; each product with its HS code, quantity, unit, rate and value; the currency and Incoterm; freight and insurance where they are charged; and the total, with the amount in words. For the bank, add the account, IFSC and SWIFT the buyer pays into.
An export is made either under a Letter of Undertaking (LUT) without paying IGST, or on payment of IGST. The invoice carries an endorsement for the route you use — the CBIC invoice rules set out the wording — so choose the route here that matches your LUT and tax position, and check it with your tax adviser. A PDF made here is a document; it is not a GST return or a customs filing.
Keep the three in step
The commercial invoice, packing list and Shipping Bill should agree on the buyer, products, HS codes, quantities and invoice number. Making all three from the same typed details, as this tool does, removes the most common source of mismatch: retyping. For weights and package counts, read the export invoice and packing list guide or work out volume with the CBM calculator.
After you download
Save this to ExportEazy and the company details, buyer and products you typed come into your free account, so the next invoice starts from them. There, each invoice is numbered in one series per financial year, the packing list is made from the cartons actually packed, and the shipment shows what is still open — Shipping Bill, payment and eBRC — until it is closed. See how it works.
